Import Clients into Cuddles

Easily bring your existing client and pet data into Cuddles — no matter what software you’re coming from.

To help you get up and running quickly, Cuddles provides a simple client import template you can use to upload your full client list in just a few steps.


What you’ll need

Tip: You don’t need to clean or format everything perfectly before starting — the template is designed to guide you.


How the client import works

Cuddles organizes data around pet parents and their pets. During import:

  • Each row represents one pet

  • Pet parents can appear on multiple rows if they have multiple pets

  • Repeating pet parent information will not create duplicate client profiles

This ensures every pet is imported correctly and linked to the right owner.


Using the client import template

  1. Download and open the Cuddles Client Import Template

  2. Copy your client and pet data from your existing system into the template

  3. Match your data to the existing column headers

  4. Save the file as a CSV

  5. Upload the completed template to Cuddles or share it with our team for assistance



The Cuddles Client Import Template includes predefined columns to help map your client and pet data correctly.


Important formatting notes

To ensure your data imports correctly, please review the following requirements before uploading your file.

General rules

  • One row equals one pet

    Each pet must be listed on its own row in the template.

  • Duplicate pet parent details are expected

    For households with multiple pets, repeat the pet parent information for each pet.

  • Do not combine multiple pets into a single row

    Each row should represent only one pet.

Additional formatting requirements

  • Pet type must be entered as dog or cat

    Pet types entered in uppercase (for example, DOG or CAT) will not import correctly.

  • Vaccines requirements must be set up in advance

    Vaccines types must already exist in your business settings under Vaccines. If a vaccine is not listed there, it will not be saved during import.

  • Vaccine dates must use the format YY/MM/DD

    Other date formats will not be recognized.

  • Phone numbers cannot contain spaces

    Remove any spaces before uploading your file.

  • Addresses must be complete

    If an address is included, all of the following fields must be filled in:

    Address, State, Zip Code, and City

Following these guidelines helps ensure your data imports cleanly and accurately.

Uploading your client import to Cuddles

Once your template is complete, you can upload it directly in Cuddles.

Note: The client import option becomes available after you’ve added your first client in Cuddles. If you don’t see the import option yet, add one client manually to get started.

  1. Log in to your Cuddles account

  2. Navigate to Clients

  3. Select the 3-dot menu next to +Add Client and click on Import clients

Start your client import from the Clients section in Cuddles.

  1. Upload your completed client import template

Upload your completed client import template to continue.

  1. Review your data and confirm the import

Review your data before confirming the import.


Once submitted, your import will begin processing.

Important: Please keep this screen open until the import finishes processing. Leaving the page before completion may interrupt the import.


Exporting data from your current software

Below are general instructions for exporting client and pet data from common pet care platforms. Export steps may vary slightly depending on your account settings.

Square

To export your client and pet data from Square:

  1. Go to Customers in your Square dashboard

  2. Export your customer list as a CSV file

  3. Copy your data into the Cuddles Client Import Template, matching it to the existing column headers

  2. Select a Client & Pet export

  3. Download the report as a CSV file

  4. Copy your data into the Cuddles Client Import Template, matching it to the existing column headers

  1. Go to Reports

  2. Run a Client and Pet report

  3. Export the reports as CSV files

  4. Combine and format the data in the Cuddles Client Import Template, matching it to the existing column headers

MoeGo

To export your client and pet data from MoeGo:

  1. Navigate to Settings or Data Export

  2. Export your client and pet data as a CSV file

  3. Copy your data into the Cuddles Client Import Template, matching it to the existing column headers
