How to create and manage client agreements

Agreements play a vital role in setting expectations and maintaining a smooth working relationship with your clients. With Cuddles Premium, you can easily create and manage client agreements. Here's a step-by-step guide on how to create an agreement.

Step 1: Access the Agreements Section

  1. Navigate to the Clients page by clicking on the guestbook icon in the left-side menu.

Step 2: Create a New Agreement

  1. Within the Clients page, click on "Agreements," on the left side of the screen.

  2. You will be brought to the Agreements page, where you can see any agreements you've already created.

  3. Look for the "+ New Agreement" button at the top right of the page. Click on it to start creating your new agreement.

Step 3: Define Agreement Details

  1. Begin by giving your agreement a title. This should convey the purpose or content of the agreement and will be visible to Clients.

  2. Next, specify the terms and conditions you want your clients to agree to. Input this information by typing or pasting the text directly into the provided text box.

Step 4: Set Agreement Sending Options

  1. Scroll down to the bottom of the page where you can select when you want your new agreement to be sent to clients. You have three options:

    • First Booking: The agreement will be sent to clients when they make their first booking.

    • Every Booking: The agreement will be sent to clients with every booking they make.

    • Manually: You can send the agreement yourself whenever it's needed.

  2. After selecting your preferred option, click the green "Next" button to proceed to the Preview page.

Step 5: Preview and Save

  1. On the Preview page, review the information you've entered to ensure it aligns with your expectations. This preview allows you to see how your new agreement will be presented to your clients.

  2. Once you're satisfied with the content and settings, click the green "Save" button.

Step 6: Monitor Agreement Status

  1. Return to the Clients page and select "Agreements" from the left side menu.

  2. Access a list of agreements, and utilize the search bar and top filter to manage agreements.

  3. Click on a specific agreement to view signatory details, including Sent, Signed, and Unsigned counts.

  4. Explore client details by clicking on "Total Sent," "Signed," or "Unsigned" icons.

  5. Utilize the three dots on the right of a client to Preview, Resend, Download, or Delete the assigned agreement.

Step 7: Manage Agreements

  1. From the main Agreements page, you can click on the three dots on the right side of the Agreement listed to Preview, Send, Download, Edit, Duplicate, Deactivate, or Delete the entire agreement. 

  2. To download or resend a client's agreement, enter the Agreement, locate the client in Total Sent, Signed, or Unsigned lists, and click the three dots on the right of their entry to access and choose your desired option.
